Job Summary:
The Accounts Payable Assistant is an entry-level position responsible for supporting the accounts payable function by processing invoices, maintaining vendor records, and assisting with reconciliations. This role ensures timely and accurate financial transactions while adhering to company policies and procedures. The ideal candidate is detail-oriented, organized, and eager to learn.

Key Tasks and Responsibilities:


Invoice Processing:
Receive, review, and verify invoices for accuracy and completeness.
Ensure invoices align with purchase orders and packing slips, obtaining necessary approvals.
Code invoices with appropriate accounts and cost centers.
Enter invoices into the accounting system.
Maintain and update vendor records, including Form W-9 and other required documentation.
Ensure all accounts payable activities comply with relevant financial policies and procedures.


Payment Processing:
Prepare and process vendor payments.
Ensure payments are made within agreed-upon terms and deadlines.
Reconcile payments with vendor statements.


Record Keeping
:
Maintain accurate and up-to-date financial records related to accounts payable.
Organize and store invoices, payment records, and vendor documentation in compliance with company policies and audit requirements.
Assist in preparing and processing payments, including checks.
Other duties as assigned.

Experience and Qualifications Required:
High school diploma or equivalent required; Associate’s degree in Accounting, Finance, or related field preferred.
1-2 years of experience in accounts payable or general accounting.
Basic knowledge of accounting principles and financial regulations.
Proficiency in Microsoft Office Suite and experience using Apple computers.
Strong attention to detail and ability to work in a team environment.
Strong communication and interpersonal skills.
This position requires repetitive physical activity, including standing and/or walking for extended periods of time, bending, crouching, kneeling, sitting on the floor, and the ability to lift and safely carry at least 50 pounds
